1. Information We Collect

We do not collect precise geolocation data (GPS-level) through our websites. We do not engage in geofencing around healthcare facilities for data collection or advertising purposes.

DMD Healthcare Communications Network

When you register on our websites, you may be automatically enrolled in the DMD Healthcare Communications Network (the "DMD Network"), operated by DMD, an IQVIA company. Through this enrollment, your professional information (including name, NPI, email, specialty, and practice information) may be shared with DMD and made available to other members of the DMD Network. These network members may use this information to send you communications about their products and services. DMD's use of your information is governed by the DMD Privacy Policy. You may opt out of the DMD Network at any time by contacting us at dataprivacy@ihmholdings.com or by following the opt-out instructions in any DMD-related communication you receive.

3. How We Use Your Information

We use personal information for the following business and commercial purposes:

4. How We Share Your Information

We share personal information with the following categories of third parties, for the purposes described below:

A. Service Providers

We share information with companies that perform services on our behalf, such as website hosting, email delivery, analytics, data processing, payment processing, and customer support. These service providers are contractually required to use personal information only to perform the services we have engaged them to provide.

B. Advertisers, Sponsors, and Marketing Partners

We share personal information — including identifiers, professional information, commercial information, and internet activity data — with advertisers, sponsors, exhibitors, and marketing partners. This sharing enables these third parties to market their products and services to you directly. Under many state privacy laws, this sharing may constitute a "sale" of personal information or "sharing" for cross-context behavioral advertising. C. DMD Healthcare Communications Network

As described above, we share professional information with DMD, an IQVIA company, and with other members of the DMD Healthcare Communications Network. See the DMD section above for details and opt-out instructions.

D. Event Co-Sponsors and Exhibitors

When you register for or attend events, webinars, or conferences sponsored or co-sponsored by third parties, your registration information may be shared with those sponsors and exhibitors. This will be disclosed to you at the time of registration.

E. Analytics and Advertising Technology Partners

We share information with analytics and advertising technology companies, including through cookies, pixels, and similar tracking technologies. These partners may combine information collected from our websites with data from other sources to provide measurement services, targeted advertising, and audience analytics. This sharing may constitute a "sale" or "sharing" under certain state privacy laws.

F. Legal and Compliance

We may disclose personal information when required by law, court order, or governmental or regulatory request, or when we believe disclosure is necessary to protect our rights, safety, or property, or the rights, safety, or property of others.

G. Corporate Transactions

In connection with a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, your personal information may be transferred to the acquiring entity.

5. Sensitive Personal Information

Certain categories of personal information are considered "sensitive" under various state privacy laws. IHM may collect or process the following categories of sensitive personal information:

  • Health-related information: As a healthcare media company, some of the content you access, engage with, or request may reveal health-related interests or conditions. Several state laws (including California, Maryland, Delaware, and Minnesota) classify health data as sensitive personal information requiring heightened protections.
  • Precise geolocation data: We do not currently collect precise geolocation data (GPS-level). If we begin collecting such data in the future, we will update this policy and obtain any required consent.
  • Account credentials: Login information (email and password) used to access your account on our websites.

Where required by applicable law, we will obtain your consent before collecting or processing sensitive personal information, or we will limit our use of such data to purposes that are exempt from consent requirements (such as providing the services you have requested).

HIPAA Exemption Note

IHM is a healthcare media and marketing company. We are not a covered entity or business associate under the Health Insurance Portability and Accountability Act (HIPAA). The health-related information we process in connection with our media and marketing services is not "protected health information" under HIPAA. However, we recognize that some state privacy laws apply to health data regardless of HIPAA status, and we comply with those requirements where applicable.

6. Cookies, Tracking Technologies & Analytics

Our websites use cookies, web beacons, pixels, and similar tracking technologies to collect information about your browsing activity and to provide and improve our services.

Types of Cookies We Use

  • Essential cookies: Required for website functionality (session management, security, accessibility).
  • Analytics cookies: Help us understand how visitors interact with our websites by collecting and reporting information (e.g., pages visited, time on site, traffic sources).
  • Advertising cookies: Used to deliver relevant advertisements, measure ad performance, and create audience segments for targeted advertising.
  • Functional cookies: Remember your preferences and settings to enhance your experience.

Analytics Tools

We use the following analytics services, which may collect data through cookies and similar technologies:

  • Hotjar: Records user behavior on our websites, including mouse movements, clicks, and scrolling. Hotjar collects IP addresses (anonymized), device information, browser type, and geographic location. You can opt out of Hotjar tracking at hotjar.com/privacy/do-not-track.
  • Google Analytics: Collects website usage data to help us analyze traffic and improve our sites. You can opt out by installing the Google Analytics Opt-out Browser Add-on.
  • Retention.com: May be used to identify website visitors and match them to existing records for marketing purposes. This service may collect IP addresses, device information, and browsing activity.
  • RB2B: May be used for visitor identification and B2B lead generation. This service may collect professional and business information associated with website visitors.

Managing Cookies

You can control cookies through your browser settings. Most browsers allow you to block or delete cookies. However, blocking cookies may affect your ability to use certain features of our websites. You may also use our cookie consent tool (where available) to manage your cookie preferences.

7. Do Not Track & Global Privacy Control

IHM honors Global Privacy Control (GPC) signals. If your browser or device sends a GPC signal, we will treat that signal as a valid request to opt out of the sale and sharing of your personal information, as well as a request to opt out of targeted advertising, to the extent required by applicable state law.

You can enable GPC in supported browsers and browser extensions. For more information about GPC, visit globalprivacycontrol.org.

We also honor other universal opt-out mechanisms recognized under state privacy laws (such as Colorado's universal opt-out mechanism requirements).

For general "Do Not Track" (DNT) browser signals that are not GPC-compliant, there is currently no industry standard for how websites should respond. However, we treat all universal opt-out signals, including GPC, as opt-out requests as described above.

8. Do Not Sell or Share My Personal Information

IHM shares personal information with third parties in ways that may constitute a "sale" or "sharing" under certain state privacy laws, including the California Consumer Privacy Act (CCPA/CPRA) and similar state laws. Specifically, we may share identifiers, professional information, internet activity data, and inferences with advertising and marketing partners for targeted advertising and other commercial purposes.

You have the right to opt out.

To exercise your right to opt out of the sale or sharing of your personal information:

We will process your opt-out request promptly and will not discriminate against you for exercising this right.

9. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law. Our specific retention practices are as follows:

  • Account information: Retained for as long as your account is active, plus 3 years after the last account activity, unless you request deletion sooner.
  • Marketing and communication preferences: Retained for as long as you remain subscribed to our communications. Opt-out preferences (including "Do Not Sell" requests) are retained indefinitely to ensure continued compliance.
  • Event and registration records: Retained for 5 years after the event for record-keeping and continuing education verification purposes.
  • Website analytics and cookie data: Retained for up to 26 months, depending on the analytics platform.
  • Employment application data: Retained for 2 years after the application date, in accordance with applicable employment laws.
  • Legal and compliance records: Retained as required by applicable law, regulation, or legal proceeding.

When personal information is no longer needed for the purposes described above, we will securely delete or de-identify it.

10. Your Privacy Rights

Depending on where you reside, you may have some or all of the following rights regarding your personal information:

  • Right to Know / Access: Request that we disclose the categories and specific pieces of personal information we have collected about you.
  • Right to Delete: Request that we delete personal information we have collected from you, subject to certain exceptions.
  • Right to Correct: Request that we correct inaccurate personal information we maintain about you.
  • Right to Data Portability: Request a copy of your personal information in a portable, readily usable format.
  • Right to Opt Out of Sale/Sharing: Direct us to stop selling or sharing your personal information with third parties for targeted advertising.
  • Right to Opt Out of Targeted Advertising: Direct us to stop using your personal information for targeted advertising.
  • Right to Opt Out of Profiling: Direct us to stop using your personal information for automated profiling that produces legal or similarly significant effects.
  • Right to Limit Use of Sensitive Data: Direct us to limit our use of your sensitive personal information to certain purposes.
  • Right to Non-Discrimination: You will not receive discriminatory treatment for exercising your privacy rights.
  • Right to Appeal: If we deny your privacy request, you may appeal our decision.

How to Submit a Privacy Request

You or your authorized agent may submit a privacy request using any of the following methods:

Verification

To protect your privacy, we will verify your identity before processing your request. We may ask you to confirm information we have on file (such as your email address, name, or account details). If you submit a request through an authorized agent, we may require the agent to provide proof of written authorization and may still contact you directly to verify your identity.

Response Timing

We will acknowledge receipt of your request within 10 business days and provide a substantive response within 45 days. If we need additional time, we will notify you and may extend the response period by up to an additional 45 days, as permitted by applicable law.

If you are a California resident, you have specific rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (collectively, "CCPA/CPRA"). California AB 45 — Healthcare Facility Geofencing

In compliance with California Assembly Bill 45 (effective January 1, 2026), IHM does not establish a geofence around healthcare facilities (including hospitals, medical offices, mental health facilities, reproductive health clinics, or substance abuse treatment centers) for the purpose of collecting personal information, sending notifications, or delivering advertisements to individuals at or near those facilities.

13. Notice to EEA, UK & Swiss Residents

If you are located in the European Economic Area (EEA), United Kingdom (UK), or Switzerland, the following additional provisions apply to our processing of your personal data.

Legal Basis for Processing

We process your personal data only when we have a lawful basis for doing so under the General Data Protection Regulation (GDPR) or the UK GDPR. Our legal bases include:

  • Consent: Where you have given us clear consent to process your personal data for a specific purpose.
  • Contractual necessity: Where processing is necessary to perform a contract with you (e.g., providing access to services you have requested).

14. Children's Privacy

Our websites and services are not directed to children under the age of 16. We do not knowingly collect personal information from children under 16. 15. Data Security

We implement reasonable technical, administrative, and physical safeguards to protect personal information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the Internet or method of electronic storage is completely secure. While we strive to protect your personal information, we cannot guarantee its absolute security.

If we become aware of a security breach that affects your personal information, we will notify you and the relevant authorities as required by applicable law.
